Description Join a fast-growing Oceanside business as an Administrative Assistant in a role where you'll put your organizational expertise to great use. This position is ideal for someone who enjoys supporting day-to-day administrative operations while providing excellent service and ensuring the office runs smoothly. Key Responsibilities: + Organize and maintain office systems, including filing contracts, scanning documents, and managing other administrative workflows using Microsoft OneDrive or similar tools. + Answer calls and emails with professionalism to assist clients, vendors, and internal team members, ensuring prompt issue resolution. + Create and process invoices for accounts payable and accounts receivable using QuickBooks Desktop or equivalent accounting software. + Coordinate team schedules, ensuring meeting calendars are updated and that deadlines are communicated clearly. + Monitor office supplies, making purchase orders as needed to maintain department efficiency. + Support department managers on special projects, event planning, and ad-hoc tasks as required. + Maintain updated mailing lists and contact databases for internal communications efforts. Requirements + High school diploma required; Associate's degree or vocational training in business administration preferred. + 2+ years of administrative support experience in an office setting. + Proficiency in Microsoft Office Suite and QuickBooks Desktop; familiarity with document management software. + Excellent time management skills and adaptability for handling diverse tasks. + Strong interpersonal skills with the ability to work collaboratively across teams.
