Job Description

Description:: Under the direction of the Executive Assistant, the Office Manager will oversee the daily operations and office activities at ImageTrend, ensuring a seamless and professional environment for team members, executives, clients, and other visitors at our headquarters. This role is responsible for leading key aspects of office operations, vendor coordination, facilities support, and administrative workflows.

We’re looking for a collaborative, proactive, and highly organized professional with strong operational skills and attention to detail, who thrives in a fast-paced, high-visibility role. The Office Manager will work onsite 5 days a week, with occasional flexibility for remote days, and will also need to be friendly, inviting, agile & eager to learn so we can continue to improve on existing processes.

What You'll Do:

  • Lead onsite operations and partner closely with the Executive Assistant to deliver a seamless and positive experience for employees, executives, and visitors at our corporate headquarters.
  • Own the planning, coordination, and execution of internal and external events, collaborating cross-functionally to align on timelines, logistics, and key outcomes.
  • Manage and maintain the corporate event calendar, ensuring clear and proactive communication with stakeholders and participants.
  • Oversee hospitality and in-office experiences, ensuring high standards of service for guests and team members, including coordination of meals, refreshments, and environment setup.
  • Direct and support day-to-day office logistics, including mail and package distribution/shipping, travel coordination, front desk operations, and inventory management.
  • Monitor and manage the office budget, track administrative expenses, and report on financial performance related to workplace operations.
  • Develop, implement, and uphold office policies and procedures that promote workplace efficiency, safety, and compliance.
  • Serve as the main liaison with building management, facilities partners, and vendors to coordinate maintenance, janitorial services, security, and any operational needs.
  • Assist with preparing company communications and presentation materials in partnership with internal stakeholders.
  • Respond to ad hoc requests from leadership or internal teams, demonstrating flexibility and agility in addressing evolving priorities.
  • Represent the company at offsite meetings, corporate functions, or industry events, including occasional local travel or errands.
  • Perform additional managerial duties and operational support as assigned.
  • Travel to orientation, industry or company events, or other onsite meetings as required

Requirements:

  • Degree in business administration, management, or a related field, or an equivalent combination of education and relevant experience.
  • Proven experience in office management, workplace coordination, executive support, or a similar operational role, preferably within a corporate or fast-paced environment.
  • Proactive and strategic self-starter with a demonstrated ability to take ownership, anticipate needs, and lead initiatives while thriving in a collaborative, fast-paced team environment.
  • Proven ability to lead with a service-oriented mindset while driving efficiencies and elevating workplace experience.
  • Exceptional customer service mindset with the ability to lead by example and foster a culture of hospitality, responsiveness, and professionalism across the team.
  • Exceptional verbal and written communication and interpersonal skills with the ability to work effectively across teams and with all levels of the organization.
  • Strong time management, organizational, self-motivation, and critical-thinking skills with a high degree of accuracy and attention to detail.
  • Demonstrated ability to manage multiple competing priorities
  • Ability to maintain discretion when handling proprietary and confidential information
  • Technically adept with proficiency in Microsoft Office Suite, Adobe Acrobat, and the ability to quickly learn and navigate new systems.
  • Enthusiasm for learning and expanding knowledge or skills

  • Ability to work in-office full time
  • Ability to travel as required, up to 10%

Position Salary Range: The annual base salary range for this full-time role is $70,000 - $85,000 USD + bonus + benefits + perks + community gains. Within the range, individual pay is determined by job-related skills, education or training and other relevant qualifications.
